Microsoft Word is one of their favorite text editors. With such a big array of features, Microsoft Office Word can look complicated. Some hidden tricks and shortcuts make text editing easier. Here are some tips I think will help you when you are using Microsoft Word.

1. Vertical Selection Of Text

Normally, they select a character, a word, a sentence, or a paragraph. All these selections are horizontal selections. Sometimes, you may need to select vertically. For example, if your text has numbers in the beginning, you may want to select only the numbers to delete them in one go (see figure).

To select text horizontally, press ALT and click to drag and make a selection. Remember to release ALT key before releasing the mouse else it will open the Research dialog. Check out the different uses of vertical selections and let us know what all you did with this feature.

2. Default Line Spacing

The default line spacing in Microsoft Word is 1.15 against 1 in Microsoft Word 2003. Microsoft changed the line spacing to make your text more readable. If you want the default line spacing as 1, follow this procedure:

  1. While on the Home tab, right-click on the Normal quick style button and select Modify
  2. In the Format list that appears, select Paragraph
  3. Under Spacing, change the line spacing from 1.15 to 1
  4. Click OK
  5. Check the box against “New documents based on this template.”
  6. Click OK

3. Changing The Default Save Location

By default, MS Word opens Documents folder when you press CTRL+S for the first time. If you think this is irritating you, you can change the default file location to some other place where you normally store your documents.

  1. Click on File
  2. Click on Options
  3. Click Advanced in the left side of the window that appears
  4. In the right part of the window, scroll down to the button that says “File Locations”
  5. Select Documents and click on Modify

4. Change Default Font

The default font for new documents in MS Word is Calibri. Though the font is good for online viewing, it creates problems when printing. You may be using Times New Roman or Arial for print jobs. One method is to change the font manually each time after you have typed the document. But then, it would involve formatting the document again. Another method is to change the default font.

  1. Right-click on the Normal quick style button on Home tab.
  2. Click Modify
  3. In the dialog box that appears, click on Format… to open the drop-down menu and select Font
  4. In the Font dialog box, select the font you wish to use with every document.
  5. Make any other changes you wish such as font size etc
  6. Click OK
  7. Click to select “New documents based on this template”
  8. Click OK to close the Modify dialog box.

5. Move Rows Of Text In Table

Sometimes when you are working on the table, you may want to move one or more rows in the table up or down without having to change the table formatting. One method is copy-pasting but that risks formatting.

Another method is using ALT+SHIFT+UP arrow key to move an entire row up. Similarly, to move the entire row down, use ALT+SHIFT+DN arrow key. Note that you have to select the row before you can move it using the ALT+SHIFT+Arrow keys. This method makes sure the formatting is not disturbed.

6. Quickly Change Line Spacing

Sometimes need arises that you have to change line spacing among different paragraphs. Here are the shortcut keys:

CTRL + 1 –> Change line spacing to 1

CTRL + 2 –> Change line spacing to 2

CTRL + 5 –> Change line spacing to 1.5

Note that you need to place the cursor on the paragraph that needs to be styled. You need not select the paragraph.

7. Quickly Adding Borders to Paragraphs

If you wish to add borders to some paragraphs, you can use the Borders and Shading dialog box. However, if your need is to add the bottom border to text/paragraph, you can do it by adding three special characters and hitting Enter.

Press – (hyphen) three times and press Enter to draw an underline border of 3/4 points

Press _ (underscore) three times and press Enter to draw an underline border of 1.5 points

Press ~ (tilde) three times and press Enter to draw a zigzag underline border

Press * (asterisk) three times and press Enter to draw a dotted underline border

Press = (equal to) three times and press Enter to draw a double underline border

8. Find Special Formatting

You can find text that is specially formatted. For example, you can find highlighted text or text whose font is Times New Roman. You can also search for bold text or italics. There are many more options when you use the Find option.

  1. Press CTRL+F to open the Find pane. In Word it appears to the left side of the window.
  2. Click on the down-facing triangle next to the magnifying glass and click on Advanced Find…
  3. In the Find dialog box that appears, click on More.
  4. You can see plenty of options under Format.
  5. When you select anything, it appears under the “Find What” textbox. When you click, Find Next without entering anything in the “Find What” text box, it searches for the format you have selected. For example, you can select Font and in the Font dialog box, select a font and its properties (bold, italics, etc.).

9. Merging Formatting When Pasting Across Documents

When you copy anything from another document and paste it in the current document, you will want the copied text to match the formatting of the current document. While you can manually format each time you copy text from other documents to the current one, you can also set the default paste to merge formatting so that the text copied from other sources acquires the formatting of the current document.

  1. To set the default formatting, click on the down-facing triangle below Paste on Home tab
  2. Click Set Default Paste
  3. In the window that appears, Select Merge Destinations in 1] When Pasting in the same Document and 2] When Pasting between Documents.
  4. Click OK to close the window

10. Copy Only Formatting

Sometimes you may want to apply an already existing formatting from one part of your document to another part. You have the Format Painter for the purpose. Using the Format Painter can be irritating when dealing with long documents.  Here is another method that is easier to use.

Press CTRL+SHIFT+C instead of CTRL+C. This will copy only the formatting and leave the text.

Move to the destination where the formatting is to be applied. Select the text to which formatting is to be applied. Press CTRL+SHIFT+V to paste the formatting to the selection.

Microsoft Copilot: tips and tricks for using AI in Windows

Microsoft’s Copilot might not be breaking ground in quite the same way as ChatGPT seemed to when it first debuted, but there are still some useful abilities for this desktop-ready chatbot AI that is now available to pretty much anyone running the latest version of Windows 11. It doesn’t have a huge range of abilities yet, confining itself to changing some Windows settings, opening apps for you, and performing the creative writing and web search functions available through its contemporaries.

But you can make Copilot work for you and work well, and there are some tips and tricks you’ll want to employ to make the most of it. Here are some of my favorites.

Go hands-free

While the latest natural language AIs might be primarily text-based, many of them now include voice and audio support, and Windows Copilot is much the same. While this might seem like merely a more clunky way to interact with Copilot — and it is kind of clunky — this is an important feature because it means you don’t have to use your hands to prompt it. Beyond clicking the little microphone button, you can get back to whatever you’re doing while asking it a question or requesting something from it.

For me, this means I can ask it to find me information on a course for an article I’m writing, summarize a webpage, or deliver me some tips on how to do something, all while working on something else. This is particularly useful when you’re writing an article about Copilot tips and tricks, as you can have them play out while you’re writing it. When I’m writing a best-of list, though, I can have it grab a spec sheet for me, which saves me around a minute of time for each request. Those minutes quickly add up.

Beyond my needs, though, voice support is also an important accessibility feature. You don’t even need to be able to type to enjoy Windows Copilot. Young children or those with mobility difficulties can interact with and receive useful responses from it just like everyone else. For those who struggle to use a mouse or keyboard, this could greatly Excellerate their ability to interact with Windows naturally.

When I had a pinched nerve in my back recently and found using a mouse painful, Copilot was able to reduce my reliance on it. It’s not perfect, or even great, yet, but it has the potential to be huge.

You’ll need to be signed in to use all its features

Windows Copilot has a few additional functions that require additional information from you. In the case of generating images, you’ll need to be signed in to the Windows Image Creator service. 

This is also a good help tip if you find that you can’t use Copilot because its icon is missing or it just won’t open. Make sure you’re signed in to your online Microsoft account.

Integrate Edge with Windows Copilot

One of the few features that Copilot currently has that works really well is interacting with Edge. As a Microsoft product, this is perhaps no surprise, but it expands the functionality of Copilot beyond the bounds of Windows itself and, crucially, allows it to interact with your web session in a range of ways.

I often pull up articles with every intention of studying them, only to find out that it will take me 20 minutes, and who has time for that? I’d certainly like to, but at this time in my life, I don’t, so Copilot can quickly summarize it for you. It can find specific information within the page, too, which can be great for finding a quote or reference you need from a lengthy interview or video transcript.

It works with PDFs

One of my favorite ways to use AI chatbots so far is searching through lengthy PDF documents for board game rule references. I’ve tried a few different options, but Windows Copilot does a pretty good job. In this case, I asked about a rule for the complicated board game Twilight Imperium. To do so, I uploaded the living rules to a cloud service, opened the file in Edge, and had it share my on-screen content with Copilot.

It found the right rule reference and added additional (largely unnecessary) clarification. It’s not perfect, but with a less nuanced or complicated request, it could be more effective.

It works in a range of other apps too

Don’t forget that Windows Copilot might be mainly designed around a general chat tool but is slowly being integrated into Microsoft’s other apps.

If you use Teams, Word, PowerPoint, Outlook, or other Microsoft applications, it might be worth paying the additional subscription fee of $30 per user per month to get Copilot into your 365 applications. You’ll be able to do things like make an entire PowerPoint presentation just from a quick prompt or get AI-generated text right in Word.

Be precise and be prepared for errors

As great as Windows Copilot can be, it is still very clearly a work in progress. Some of the features aren’t available yet, some of the features aren’t available to everyone, and even the ones you do have access to won’t necessarily work. In one test, Copilot told me it couldn’t generate images because I wasn’t signed in, and then it claimed it couldn’t generate images at all.

One day, it allowed me to open applications using it — admittedly, using the laborious process of clicking on the button within its chat to do so — and another day, it wouldn’t let me, suggesting it doesn’t have that functionality and can only search the web for answers to my problem.

Some days, it won’t even turn on dark mode, as it did in its very first demonstrations.

Be very clear in your instructions to avoid potential errors, but be prepared for it not to work as intended all of the time. If you encounter an error, try restarting Copilot or rebooting your PC.

Microsoft Tricks Users Into Praising Vista

Thursday at Microsoft's financial analyst meeting, Bill Veghte, senior vice president of Windows, revealed that Microsoft recently conducted focus groups with a pool of XP users who had negative perceptions of Vista, but hadn't actually used it or seen it in action.

Originally reported earlier this week by Microsoft blogger Ina Fried, the XP users were told they were getting a sneak peek at the next version of Windows, code-named Mojave, and were asked to deliver their impressions, which were largely positive. Later, users were informed that the OS they'd just seen was actually Windows Vista.

Veghte showed video of the focus groups to financial analysts, which shows users reacting to the Vista demo with exclamations such as "That is awesome," "Seems like everything is there," and "My system is boring compared to that. Everything is right at your fingertips."

After realizing they'd been "punked," several users sounded as if they'd be heading out immediately to buy a copy of Vista. "Actually it's totally different than I heard it would be like," said one user. "It's an awesome program you have to see for yourself," said another. "It is something I would want now," said a third user.

Of course, some solution providers that sold and supported Vista PCs in the months after its release might have a different view. But even within Microsoft's channel, there's a rising chorus of Vista defenders who say Vista service pack 1 has fixed the nagging issues and finally positioned the OS as a viable option for businesses.

At Microsoft's Worldwide Partner Conference earlier this month, executives drilled home the message that it'll take a collective effort between Microsoft and its partners to change peoples' perceptions of Vista. Veghte said Microsoft sees projects like Mojave as chances to make headway in this fight.

"That's their opportunity. Perception vs. reality, that's a conversation that we've got to go have with their customers," Veghte said.
