Microsoft is adding an AI ‘easy button’: In a new blog post this morning — in advance of next week’s Consumer Electronics Show — Microsoft announced it will introduce a new Copilot key for AI-powered Windows PCs. The Copilot key, like the Windows key, becomes will become a core part of the PC keyboard. The company said the introduction of the Copilot key “marks the first significant change to the Windows PC keyboard in nearly three decades.”

Yusuf Mehdi, executive vice president and consumer chief marketing officer, wrote that Microsoft “will be ushering in a significant shift toward a more personal and intelligent computing future where AI will be seamlessly woven into Windows from the system to the silicon, to the hardware.”

Mehdi added that the addition will be a big step towards “making 2024 the year of the AI PC.”

The news follows up on Microsoft’s September 2023 announcement that a new version of Windows 11 would have Microsoft’s AI companion Copilot baked right into the operating system (OS) itself.

At that announcement, Carmen Zlateff, vice president of Windows crowed about how Copilot could have a view across all a user’s applications. “What if Copilot could take copy and paste and make them even better — copy, paste and do?” she said.

Microsoft had announced back in May 2023 that Copilot would be available through all Microsoft 365 applications, part of Microsoft’s longstanding software-as-a-subscription (SaaS) offering, but the Windows announcement offered Copilot to those who just have Windows 11 installed locally and represented a deeper integration of the AI tool into the OS itself.

Today’s blog post said that Microsoft ecosystem partners will be adding the new Copilot key to Windows 11 PCs, with availability beginning in late February through Spring, including on upcoming Surface devices.

There was also a tease about future efforts to tweak Windows to optimize AI experiences: “This will require an operating system that blurs the lines between local and cloud processing,” wrote Mehdi.

As stories of value destruction go, OpenAI’s is among the greats. The generative artificial intelligence company was on the cusp of selling shares at an $86bn valuation. One internal coup later and its chances of reaching such heights have nosedived.

Examples of companies wrecking their own multibillion-dollar values are relatively rare. WeWork scorched its $47bn valuation with a fanciful listing document that laid bare the extent of corporate overspend. Jack Ma’s speech criticising Chinese regulators led to the suspension of a planned listing for Ant, the fintech he founded that was due to raise more than $30bn. The difference in OpenAI’s case is that the action came from a group with no financial interest in the company.

OpenAI’s board controls a non-profit created to benefit humanity, not shareholders. Its decision to fire chief executive and co-founder Sam Altman, mull a reinstatement and then opt to replace him with a new CEO has fractured the company. One board member, Ilya Sutskever, has already expressed regret. OpenAI’s relationship with Microsoft, its biggest investor, is about to get more complicated.

Microsoft has acted as a backstop in some ways. By hiring Altman to lead a new AI research team, it has neutralised the threat of rivals offering him a job or the means to start a new company. Microsoft’s share price rose more than 2 per cent on Monday, wiping out the ill effects of the chaotic weekend. It has declared confidence in its “product road map” with OpenAI.

However, the fact that it had no say over Altman’s exit and was given little warning will not foster good relations with the board.

The structure of OpenAI, including its leadership, is still in flux. It has a new leader who has expressed concerns about the speed of AI development. That suggests it will not pursue revenue-accelerating goals, including becoming a platform for customers.

Microsoft is an investor, customer and competitor. It already has a licence for OpenAI’s technology. The tech is knitted into Microsoft’s productivity software. OpenAI, which is lossmaking, also depends on Microsoft’s cloud computing resources and the $10bn investment it pledged. Losses last year were reported to exceed half a billion dollars. The balance of power is not in OpenAI’s favour.

Project management

Microsoft Project offers three main project views: grid, board and timeline (Gantt) view (Figure A). The interface is similar to other Microsoft products, and reports are highly customizable. The tool gives you the option to get detailed with resource management, such as tracking costs of materials over the course of a project or seeing how much time an individual has spent on a task.

While Smartsheet is based on a spreadsheet’s grid-like appearance (Figure B), it also provides three other views: card (kanban), calendar and Gantt. You can either start with a blank sheet or use a template to help guide the process. Conditional formatting rules speed up the process even further, and you can also create automation rules to cut down on manual work.

Document management

You can upload documents to a site in Microsoft Project, but editing and updating capabilities are limited. Instead, it makes more sense to use one of the Microsoft solutions that are dedicated to document management, such as SharePoint or OneDrive. This means that not everything will be stored in the same Microsoft product, and you will need a separate solution for document management.

Smartsheet allows you to upload files to a project, and it links to multiple popular document management solutions including Google Drive, Dropbox and OneDrive. The Business and Enterprise plans also offer a proofing feature that allows teams to visually mark up content, including videos, within the Smartsheet tool to keep everything centralized in one place.

Communication tools

Similar to document management, Microsoft Project does not contain any native features for communication or collaboration. Instead, users will be prompted to connect with colleagues using one of Microsoft’s many other communication tools, including Teams (Figure C), Outlook and Skype. If you aren’t already part of the Microsoft ecosystem, then you will need to invest in other software that can take over this function.

On the other hand, Smartsheet allows teams to have conversations via comments on sheets and rows; individuals can tag each other in comments to send a notification. Comments can even be accessed via the mobile app, so you can read and respond on the go. While it doesn’t offer a more robust native chat function, it does integrate with some messaging platforms such as Slack to supplement the built-in comment feature.

Less experienced project managers or teams with fewer projects will likely be overwhelmed by the steep learning curve and complex interface.

Microsoft Project is also best suited to companies that are already part of the Microsoft ecosystem or in the process of migrating over to it. Microsoft Project assumes your team is already using other Microsoft products for key functions like team collaboration and document management. If you’re not, then it makes more sense to consider a different project management software that already incorporates these features.

On the other hand, Smartsheet is an excellent choice for smaller teams who are used to working in spreadsheets and want a more advanced project management solution that mimics this look and feel. It is much easier to learn than Microsoft Project thanks to its guided setup and extensive tutorials. However, the spreadsheet-centric design won’t work for everyone, and some users may find this design choice frustrating.
